How to avoid bad debt? 3 tips to help you 


You know what it is like when you have had a great weekend. 

It is Monday morning and you are feeling great and then you are greeted with payment requests from your suppliers and you are thinking it’s not even 30 days and then you are looking at what you are owed and you see.

Over 65% of your Debtor ledger is 30 days or older, with some clients, proudly using you as their free banking facility.

Yes they are using the money they should have paid you, to pay someone else.

You might wish to consider the following.


1)

When a client, gives your accounts department one of the 20 top excuses on why they need another 30 days, not to pay your bill so they can use the funds elsewhere ( you would not begrudge the Director's family a holiday, by not paying what they owe you, would you? Or to pay another Creditor who is not as accommodating as you or you could just offer to pay their HMRC liabilities).

Why not ask your accounts department, to politely suggest that if they are having short term Cash-flow problems, they  try a Finance Broker, there is a firm called Ringrose and Co who specialise in finding Business Finance, why not call Mark Smillie on 0800 612 5364.

Well if we cannot secure funding for them in 5 days, why on Earth are you financing them?

One of the biggest dangers to any business is getting hit by a bad debt; in most cases this could have been avoided by better debt control.

If a client goes into Liquidation owing you £100k that could be your year’s profit (this blog might prompt you to look at your Debtors that are over 60 days, and compare them with last year’s profit figure).
 
The impact on your cashflow today could be devastating; to recover the loss you would have to complete another order, in excess of £330k at a 30% margin, but this might take 3 months to come through (and you will have to fund the completion of the order) and you are left with a big hole in your cashflow right now.

It is just like someone taking out a £100k from your account today, with no warning or approval from you, how upset would you be if that were to happen?
 
And what are the potential consequences to your company?

This is how you can lessen the risk?

A)
 
Tell your accounts department, they are not allowed to sanction any debt beyond 45 days. They have to go to the Board of Directors for approval which must be accompanied with a detailed written request on why they are asking for your firm to finance their firm.
It would be good practice for debt collection to subtly let your slower payers know of these changes.

This should have an immediate impact, because the client will more than likely go to another client who is a softer touch, and they will not want the hassle.
 
If your client is Credit Worthy but likes to stretch his suppliers to 60-90 days and you do not wish to lose their business then finance can easily be put in place to fund this, you are welcome to call me on my mobile 07710 466166.

B)
 
If you are approached even by your oldest client, for a delay in payment of an amount of money that you could not easily afford to write off today, this is what you should do.
 
Tell them that the share holders and directors families have all agreed that any loan extension beyond 60 days or a certain level of debt has to go to an independent firm for a recommendation.
 
It is part of your duty as a Company Director to safeguard your creditors and your employee also on a personal basis to provide for your future and your families.
 
Acting as a Finance Company to a business that no one else will finance, without even looking at their books is pretty crazy!
